What are Rate Plans?
A Rate Plan is a combination of various rules or variables. In GRS, these rules or variables include the rate type, meal plan, price type, group type, and cancellation policies. To access this section, click on the "hundred" icon in the side menu of the Marketplace.
⚠️IMPORTANT: For Rate Plans, our system seamlessly synchronizes them with certain PMSs. This means that we directly retrieve the Rate Plans you have set up in your PMS and reflect them in our system. However, some PMSs do not allow us to synchronize the Rate Plans. In such instances, you will need to create them manually in the GRS marketplace. If you're unsure whether your PMS allows this functionality, please reach out to your designated contact within GRS to inquire about the capabilities of your PMS in this regard.
How can I Create Rate Plans?
Rate Plans are created by synchronizing them with your PMS or manually in the GRS Marketplace.
- To syncronize with your PMS, all you need to do is click on the "Synchronize with PMS" button.
⚠️IMPORTANT: When synchronizing Rate Plans with the PMS, the PMS will only bring the ID and name of the Rate Plans. By default, these Rate Plans will be deactivated (red background). The hotelier needs to add the remaining information and activate the rate afterward.
- To create them manually, click on the "New Base Rate" button.
When creating New Base Rate Plans, you will need to provide the following information:
- Category:
- Rack: Standard Rate Plan, linked to a standard booking price for all.
- Promotional: Discounted Rate Plan, linked to a reduced booking price for all.
- Negotiated: Custom Rate Plan, tailored for specific clients with a unique booking price.
- Code: Non-editable. GRS will assign a unique code to each Rate Plan.
- Name: Rate Plan name.
- Meal Plan:
- Room Only
- Bed and Breakfast
- Half Board
- Full Board
- Full Board with lunch box
- Price per room/person: Price per room or per person.
- If per person, option to specify if you want to offer one complimentary room for every x rooms booked in a single reservation (1 complimentary each) and indicate the room type to which you want to give priority (with priority to the room).
- Group type: Specific group types to which this rate plan should be applied.
- Adults Group
- Youth Group
- Both (All)
- Group typology (optional):
- Adults - Business
- Adults - Leisure
- Youth - Accompanied by adults
- Youth - Unaccompanied adults
- Early booking days (if category = Promozionale): Minimum number of days before the booking date.
- Last minute days (if category = Promozionale): Maximum number of days before the booking date.
- Terms and conditions: Text related to terms and conditions, such as payment and cancellation policies. The Buyer will see this text during the booking process.
- Negotiated rate (if category = Negoziata): Text related to the negotiated prices with the Buyer.
- Cancellation policy: By default, you'll encounter the default cancellation policy. If you wish to choose another, click on it and select a different policy.
- Validity period (optional): Date range for the availability of this Rate Plan.
Once a Base Rate Plan is created, you have the option to create Derived Rate Plans. Derived Rate Plans are discounts or supplements associated with a Base Rate Plan (as a lower level). To create them, click the "new derived rate" button.
When creating New Derived Rate Plans, you will need to provide the following information:
As mentioned, a Derived Rate Plan is always associated with a Base Rate Plan. Therefore, as the first step, you must select which Base Rate Plan it will be associated with.
- Category:
- Rack: Standard Rate Plan, linked to a standard booking price for all.
- Promotional: Discounted Rate Plan, linked to a reduced booking price for all.
- Negotiated: Custom Rate Plan, tailored for specific clients with a unique booking price.
- Code: Non-editable. GRS will assign a unique code to each Rate Plan.
- Name: Rate Plan name.
- Meal Plan:
- Room Only
- Bed and Breakfast
- Half Board
- Full Board
- Full Board with lunch box
- Derived from: Non-editable. Name of the selected Base Rate Plan in the previous step and to which it is associated.
- Relative or absolute variation: Percentage or an absolute number of supplement or discount that you want to apply to the Base Rate Plan, choose one.

If relative, specify a percentage. For a supplement, use a se a percentage greater than 100 (e.g., 120%); for a discount, use a percentage lower than 100 (e.g., 20%).

If absolute, specify an absolute number. For a supplement, use a positive number (e.g., 20); for a discount, use a negative number (e.g., -20)

- Price per room/person: Non-editable. Price per room or per person.
- If per room, option to specify an absolute variation added per person in the preceding field. It will be added absolutely, always according to the number of people in the room.
- If per person, option to specify if you want to offer one complimentary room for every x rooms booked in a single reservation (1 complimentary each) and indicate the room type to which you want to give priority (with priority to the room).
- Group type: Non-editable. Specific group types to which this rate plan should be applied.

⚠️IMPORTANT: Two Rate Plans with the same Mealplan cannot coexist simultaneously in the booking engine. There can only be one unique Rate Plan with a specific Mealplan at a time in the booking engine. Therefore, if the "booking engine" section appears as non-editable, it is because another Rate Plan with the same Mealplan is already active. If you wish to activate this Rate Plan, you will need to deactivate the other one.
How can I Manage my Rate Plans?
Once you have created your Rate Plans, you can view it in the "Rates" section. Here, you can see a summary of your Rate Plans:
- Category:
- Rack: Standard Rate Plan, linked to a standard booking price for all.
- Promotional: Discounted Rate Plan, linked to a reduced booking price for all.
- Negotiated: Custom Rate Plan, tailored for specific clients with a unique booking price.
- Code: Unique code assigned by GRS to the Rate Plan.
- Name: Rate Plan name.
- Base/Derived: If the Rate Plan is a Base Rate Plan or a Derived Rate Plan.
- PMS Synch: If the Rate Plan is synchronized with the PMS or not.
- Adults/Youth: Group types to which this rate plan will be applied.

- Youths

- Meal Plan:
- RO: Room Only
- BB: Bed and Breakfast
- HB: Half Board
- FB: Full Board
- FC: Full Board with lunch box
Moreover, from this same section, you can perform different actions:
- Able/Disable: Clicking the "eye" icon enables or disables a Rate Plan. If a Rate Plan is disabled, it will appear at the bottom of the list with a red background. To activate it, click on the "eye" icon. To deactivate it, do the opposite.
- View: Clicking on the "eye in a tab" icon allows you to view the complete information about the Rate Plan. In addition to the previously mentioned information, you can see if the price is per room or person, terms and conditions, cancellation policy etc. If you wish to change the information of the Rate Plan, you can do so by clicking the "change" button. If you wish to delete the Rate Plan, you can do so by clicking the "delete" button.
- Edit: Clicking on the "pencil" icon allows you to edit the Rate Plan information. Keep in mind that the only fields you can edit in the case of Base Rate Plans are the name, group typology, terms and conditions, cancellation policy and validity period; In the case of Derived Rate planes the name, relative or absolute variation, group typology, terms and conditions, cancellation policy and validity period. If you make any changes, you will need to save them by clicking the "change" button. If you wish to delete the Rate Plan, you can do so by clicking the "delete" button.
⚠️IMPORTANT: If the "booking engine" section appears as disabled and non-editable, it is because another Rate Plan with the same Mealplan is already active. If you wish to activate this Rate Plan, you will need to deactivate the other one
- Include/Exclude Buyers: Clicking the "forbidden" icon allows you to exclude a Rate Plan for specific Buyers (if category = Rack or Promotional). Clicking the "padlock" icon links the Rate Plan with specific Buyers (if category = Negotiated). When you click on one of the icons, a list of all Buyers will appear, from which you can enable or associate Rate Plans with different Buyers by clicking the "on" or "off" button.
