What are Rooms?
Rooms section refers to the Rooms available in your hotel. Within this section, you will be required to create all the different rooms offered by your hotel. Once created, you can then incorporate business logic to facilitate room upgrades for your customers, providing them with enhanced accommodation options for an additional fee.
To access this section, click on the button that says "Rooms" in the side menu of the Dashboard.
How can I Create Rooms?
Rooms are created manually via the Civitfun dashboard, accessed through the "Rooms" section. To create one, click on the "Create Room" button.
When creating Rooms, you will need to provide information in the following fields:
- Language: You need to translate the room (room name and description) into all enabled languages. To accomplish this, choose a language, input all the necessary details, save your work, switch languages, and repeat the process.
- Room Type: Room name, please note that this will be the name visible to your guests.
- Description: Room description.
- Photo Gallery: Room Images. You can upload a maximum of 5 images, easily arranging them with the drag-and-drop feature or removing them as needed. The first image will serve as the primary one, displayed in a larger format.
- PMS ID: Room ID within your PMS.
- Amenities: You can select all the amenities that describe the room, guests will see them displayed as icons (Bedding, Extra pillows, Towels, Hairdryer, Complimentary toiletries, Bathrobe etc.).
- Room Features: You can choose all the features that characterize the room, guests will view them as icons (Sea view, City view, Panoramic view, Private balcony or terrace etc.).
- Upsells: You can generate multiple room upgrades corresponding to the available possibilities. For example, if a room offers three upgrade options, you can create three combinations by applying the following logic to each upgraded room:

- Room Type: When creating the room, choose the option for guests to potentially upgrade to another room. For example, if you're creating a standard double room, guests could have the option to upgrade to a premium double room.
- Type of Price: You have the option to choose between Night, Week, or Entire Stay. This determines how the price specified in the subsequent field will be applied. For instance, if you select "Night" and set the "Price" to 5€, when presenting the room upgrade option to a guest, the charge for this specific room upgrade will be 5€ per night. Conversely, if you choose "Entire Stay" and set the "Price" to 30€, the charge for this particular room upgrade will be a flat fee of 30€ regardless of the length of the guest's stay.
- Price: Specify the price for the room upgrade, considering both the original room (the one being created in this form) and the one selected in the "Room Type" field, while also accounting for the selected "Type of Price".
How can I Manage my Rooms?
Once you have created your Rooms, you can view it in the "Rooms" section. Here, you can see a summary of your Rooms:
- PMS ID: Room ID within your PMS.
- Status: Active or Disabled. When it's "Active", guests who have booked that room can request upgrades. However, if it's "Disabled" and a guest has booked that room, they won't be able to request any upgrades. They will be notified that no upgrades are available for their room.
- Picture: Primary image of the room.
- Room Type: Room name.
- Hotel Name
Moreover, from this same section, you can perform different actions:
- See Details: If you wish to edit a room, click on the "See Details" button. You'll be able to edit all fields of the room. Additionally, remember that you'll need to utilize this function to add business logic. After creating all the rooms, you'll need to go through each room one by one to set up the upsell logic, the potential room upgrades.
- Active/Disable: You can activate or disable a room. When it's "Active", guests who have booked that room can request upgrades. However, if it's "Disabled" and a guest has booked that room, they won't be able to request any upgrades. They will be notified that no upgrades are available for their room.
- Delete: If you wish to delete a room, click on the "Delete" button. A pop-up will appear asking if you are sure you want to delete this room. If so, click on "Delete Room Type".
