🧭 How do I access the panel?
Go to Dashboard > Registry Panel in the Civitfun dashboard. This panel is updated daily and offers key information about the status of each batch and each guest. It is essential for managing and tracking data submissions to the authorities.

👁️ How can I view and manage the data sent?
Both the Traveller Registration panel and the Booking Registration panel allow for individualised data management and general visualisation of their status. When entering the panel, the header provides information about the status of the submissions, and below you will find the list of processed submissions.
When accessing the panel, you will see different sections with functions and information that help you:
- Know the status of the submissions
- Detect and correct errors
- Understand why some data has not been sent (for example, empty submissions)
📌 Panel header
The panel header reports the status of the submissions and the source consulted.
Record statuses
🟢 Successfully processed: The batch was accepted by the authority.
🟠 Sent and pending SES: Sent but not yet confirmed by SES.
🔴 Error detected: The batch contains errors to review.
Warning: Possible incomplete or wrongly structured data.
Process details
- Platform: SES, Mossos or Ertzaintza
- Submission status: shows if the connection is active and working
- Lookup interface: whether the data is retrieved from PMS or SFTP
❗ Most common recovery errors
- File not found: wrong name or file not available in the SFTP
- Booking not found: the file was found but contains no valid bookings or dates do not match
📆 Filtering by date and status
The panel allows filtering by the date you wish to check and by the different statuses.
- Check-in date
- Batch status (Ok, Error, Pending)
- Any column in the panel (name, contract, etc.)
🧰 Available actions
- Force send: performs a second data lookup to the configured data source
- Download all submissions: exports in XML format
- Resend all errors: attempts to resend all records in error
- Delete: deletes the entire booking and its guests
From the individual record view you can:
- Review all contract and guest data
- Correct incorrect or empty fields
- Manually save and resend

🧯 How can I manage errors?
- Open the booking with the error: click the eye icon next to the affected record
- Review and correct the data: the fields with errors appear in red
In the summary, you will first see the general details of the booking.
Scroll down to see detailed guest information. Incorrect or empty fields will be marked in red.
- Send corrected data: click “Save and send” to update the submission to SES
❓ Frequently asked questions
Can I resend only the records with errors?
Yes. Use the “Resend all errors” button or open the record details to resend it individually.
What happens if I delete a record?
The booking and all associated guests will be deleted. It cannot be recovered.
Why does a batch appear as pending?
It means it was sent from Civitfun but the authority has not yet processed the submission.
Can I use this panel if I use SFTP as the data source?
Yes, the records are displayed and managed the same way, with their validations and available actions.
What happens if I need to force send but there is already data in the control panel?
“Force send” only works if no data has been loaded; if records are missing, they must be sent manually to the authority’s platform.
