You can check if a guest has correctly signed the registration form or the contract by accessing the Check-in panel in the Civitfun dashboard. There you will be able to view the documents generated and signed during the process.
🧭 Where can I check the guest's signature?
Go to the Civitfun Dashboard and open the Check-in module from the left-hand menu.
Use the search bar to enter the booking reference of the reservation you want to check.
Once you've found the reservation, click the eye icon 👁 in the Details column.
A panel with the check-in details will open. At the top, you’ll see the legal documents generated:
Click on the document you want to review. It will open in PDF format and, if applicable, include the guest's signature.
❌ What if the signature is missing?
If the guest's signature does not appear in the document, it could be due to one of the following reasons:
❌ The signature was not requested during check-in
Check your hotel configuration from:
- Dashboard Settings Check-in Requirements
Verify the following fields:
- Who must sign the contract?
- Should the contract be saved?
- Who must sign the registration form?
- Should the registration form be saved?
📄 The document template does not include the signature field
Even if the guest signed, the signature will not appear in the PDF if the signature field is not included in the document template.
To check this, go to: Dashboard Legal Documents Registration form or Contract
Open the document editor and check the following:
- Make sure the [Signature] tag is present, or that the field was added from the dropdown menu:

- ✅ Always check the date range when searching for a reservation by locator.
- ✅ Make sure the signature fields are enabled in the hotel configuration.
- ✅ Verify that the legal documents include the signature field from the editor.
- 🔁 If you make changes to the documents or configuration, save and perform a check-in test to ensure everything is working correctly.
